Purpose

This policy outlines the procedures for closing and deleting My League Online (MyLO) sites following the cancellation of service by a customer (League). The aim is to ensure the proper handling of data, maintain security, and facilitate a smooth transition for Leagues that choose to discontinue their use of the MyLO platform.

Scope

This policy applies to all Leagues using the MyLO system developed by the League of Women Voters of California. It covers the process of site closure, data retention, and deletion of content associated with the MyLO sites after service cancellation.

Policy Statement

When a League cancels its MyLO service, the following procedures will be implemented to close and delete the associated MyLO site:

1. Notification of Cancellation

  • Upon receipt of a cancellation request, the League will provide a cancellation date that is at least 60 days after receipt of this notice (according to the MyLO Service Agreement). 
  • A confirmation email will be sent to the League, outlining the next steps and the timeline for closure.

2. Data Retention Period

  • The MyLO system will retain the League's data for a period of 60 days following the cancellation date. This allows the League to contact the MyLO support team if the retrieval of any information or content is necessary before permanent deletion.
  • During this period, the League may request additional access to the MyLO site to retrieve the necessary data.

3. Closure of MyLO Site

  • After the 60-day retention period, the MyLO site will be marked for closure. The site will remain inaccessible to the public, but data will still be retained until the deletion process is complete.

4. Deletion of Data

  • 90 days after the cancellation date, all data, content, and associated files will be permanently deleted from the MyLO system.
  • This deletion includes all website content, user accounts, and any associated databases.

5. Deletion of Users and Associated Files

  • The MyLO support team will cancel all webmaster user accounts within this MyLO site, and all associated files will be deleted.

6. Security Measures

  • All deletions will be conducted following industry-standard security practices to ensure that data is irretrievable after the deletion process is complete.
  • Access to data during the retention period will be limited to the MyLO support team only.

7. Exceptions

  • In cases where legal obligations require the retention of certain data beyond the standard retention period, the League must notify the MyLO support team within 90 days of the cancellation date, and the MyLO site will remain accessible to your specified webmasters (administrator members) for a limited time to be determined by both parties.
