Duties of LWV ABC Officers

President

  1. Lead LWV ABC
  2. Speak on behalf of  LWV ABC after consultation with the Board
  3. Chair board meetings
  4. Empower and train League leaders
  5. Organize and delegate League tasks
  6. Serve as an ex officio member of all committees except the Nominating Committee
  7. Prepare Board agendas and email agendas to board members the week before the meeting asking for additions
  8. Make board agendas and the board meetings available for all members
  9. Convene and preside over membership meetings
  10. Organize the annual board retreat
  11. Review information from LWVUS and LWVMN and save, forward or act upon as needed 
  12. Contribute to each newsletter
  13. Celebrate successes, promote coming events, encourage teamwork, and thank everyone who helps with League work
  14. Provide LWVUS and LWVMN with information as requested 
  15. Sign or endorse checks in the absence of the treasurer
  16. Sign with the treasurer all contracts and other instruments when authorized by the board
  17. Review monthly bank account statements
  18. Send letter by US postal service to members prior to annual meeting highlighting LWV ABC accomplishments and encouraging renewal of membership. Include membership application. Include milestone certificates if annual meeting will be held by Zoom.
  19. Prepare and present an annual president report to the Annual Membership Meeting             

 

Vice President

  1. Substitute for the president when president is unavailable or unable to serve
  2. Work closely with president to remain informed on activities and issues that arise, providing advice and assisting with board workload of president when requested.
  3. Attend monthly LWVMN President’s Call to stay informed of state issues
  4. Support the president and board by taking on additional duties in support of Board goals.
  5. Assist president with agenda planning and running productive board meetings.
  6. Lead the organizing, preparation and distribution of the Annual Membership Meeting packet. This includes drafting agenda, collecting annual committee reports as well as the proposed budget and bylaw changes.
  7. Submit Annual Membership Meeting materials to membership. 
  8. Act as board liaison to the Historian

 

Secretary

  1. Keep minutes of board meetings, the Annual Membership Meetings and membership business meetings or arranges for a substitute
  2. Send minutes to the president after each board meeting, membership business meeting and the Annual Membership Meeting
  3. Provide Webmaster (or designee) with copy of approved minutes for publication on the member’s only website
  4. Summarize board actions for the newsletter
  5. Send correspondence including thank you notes as needed
  6. Following elections, notify officers and committee chairs of their election 
  7. Following elections, notify LWVMN of current leadership using the LWVN Leadership Change Form
  8. Notify LWVN by email of any changes in leadership during the membership year.
  9. Sign with the president all contracts and other instruments when authorized by the board

 

Treasurer

  1. Collect and process dues and donations
  2. Write thank you notes for donations
  3. Pay bills and reimbursements
  4. Ensure timely payment of annual website domain name bill
  5. Ensure timely payment of annual website platform bill
  6. Keep and balance the books for LWV ABC 
  7. Maintain deposits in authorized financial institutions
  8. Provide president with copy of monthly bank statements
  9. Prepare a treasurer’s report for board meetings, noting financial activities since the last report
  10. Arrange for a biannual review of the books to take place in even numbered years
  11. Serve as an ex-officio member of the budget committee to prepare a proposed annual budget to present to the board
  12. Notify Membership Chair of all new members, including name, date received, all contact information and type of membership
  13. Notify Membership chair of all renewal dues received, including type of dues received, and any reported changes to contact information
  14. Inform only the President and Membership Chair of the names of members utilizing the Flexible Dues option 
  15. Email receipts with tax information to members when renewals and new memberships are received
  16. Work with members applying for grants
  17. Confirm with Membership Chair that PMP billing is correct
  18. Complete annual financial report required for 501(c)3 LLC status under LWVMN
  19. Periodically review the “Join” and “Donate” webpages and recommend changes to the Webmaster (or designee)
  20. Prepare and present an annual financial report to the Annual Membership Meeting
